3. Company Structure and Key Contacts

Our organisation is built on a collaborative model that ensures efficiency across departments. Understanding our structure helps you know where to go when you need support.

Key Departments:

  • Recruitment & Resourcing – Manages candidate onboarding, placements, and relationship building.
  • Compliance & Vetting – Ensures all placements meet the necessary legal, clinical, and safeguarding requirements.
  • Client Services – Maintains relationships with NHS trusts, private clinics, and corporate clients.
  • Operations & HR – Handles internal staffing, payroll, and employee relations.
  • Finance & Payroll – Manages invoicing, contractor pay, and internal staff remuneration.

You will be introduced to your line manager and relevant team members during your induction. A contact directory is available internally for any future reference.

4. Employment Terms and Conditions

Your employment terms are detailed in your contract and supported by the policies outlined in this handbook.

Contracts:

You will be issued either a permanent, fixed-term, or zero-hours contract based on your role. Each outlines:

  • Job title and responsibilities

  • Pay rate/salary
  • Notice period

Probation Period:

All new employees undergo a probation period (typically 3 or 6 months) during which performance and suitability for the role are reviewed.

5. Working Hours and Attendance

Office Staff:

  • Core Hours: 9:00 AM – 5:30 PM (Monday to Friday)
  • Lunch Break: One hour (flexible between 12:00 PM – 2:00 PM)
  • Flexible working arrangements are available with management approval.

Remote Working:

We support hybrid working for applicable roles. Staff must remain contactable during working hours and uphold data security standards.

Absence Notification:

If you are sick or unable to attend work, notify your line manager as early as possible. Unauthorised absences may lead to disciplinary action.

6. Pay and Benefits

We offer competitive compensation packages to reflect our high expectations of staff professionalism and performance.

Pay:

  • Salaries are paid monthly via BACS.
  • Overtime (where applicable) must be authorised in writing by management.

Benefits:

  • 25 days of annual leave plus bank holidays
  • Statutory sick pay (SSP) after 4 consecutive sick days
  • Enrolment into the company pension scheme
  • Private healthcare (subject to eligibility)

Annual salary reviews and performance bonuses may be offered based on individual and company achievements.

7. Holidays and Leave

Annual Leave:

You are entitled to 25 days of paid leave per year (pro-rata for part-time staff), in addition to UK public holidays. Leave requests must be submitted with reasonable notice and approved by your manager.

Other Leave:

  • Sick Leave: Statutory Sick Pay (SSP) applies. A doctor’s note is required after 7 calendar days.
  • Maternity/Paternity Leave: Provided in line with UK employment law.
  • Compassionate Leave: Available under management discretion.
  • Unpaid Leave: Considered on a case-by-case basis.

12. Use of Technology and Social Media

Company Equipment:

Company laptops, phones, and software must be used responsibly. Any damage or loss must be reported immediately.

Internet and Email:

  • Use email for professional communication only.
  • Do not download unauthorised software or files.

Social Media:

Employees must not post client or internal business information online. Any personal opinions shared should not imply company endorsement.

13. Data Protection and Confidentiality

14. Disciplinary and Grievance Procedures

Disciplinary Procedure:

We aim to resolve issues informally, but formal processes may include:

  • Verbal Warning
  • Written Warning
  • Final Warning
  • Dismissal (in cases of gross misconduct)

Grievance Procedure:

If you have a concern:

  1. Raise it informally with your line manager
  2. If unresolved, submit a formal grievance in writing
  3. It will be reviewed and responded to promptly, with HR support
15. Leaving the Company

Whether you resign, retire, or move on for other reasons, we are committed to managing your exit with professionalism.

Notice Period:

Outlined in your contract (typically one month). All resignations must be submitted in writing.

Handover:

You will be expected to complete a handover and assist in transitioning your responsibilities.

Exit Interview:

HR may invite you to a confidential exit interview to gather feedback.

Return of Property:

All equipment and company materials must be returned on your final working day. Any outstanding holiday pay will be included in your final payslip.
